Construction onboarding

How construction onboarding works in HR Cloud?

Construction onboarding software tracks everything a new crew member must complete before stepping onto an active site, including I-9 and W-4 forms, safety acknowledgements, OSHA cards and PPE issue. HR Cloud turns these into role- and location-based checklists, so HR and managers can see exactly who is cleared for site and who is not.

Signed paperwork is not the same as cleared for site

  • Completed paperwork does not mean a new hire is ready to work on an active site.
  • A missing OSHA 10 card, an expiring operator certification or an unsigned safety policy can keep a crew member off the job.
  • First-year employees account for 44% of construction injuries, according to Travelers’ 2026 Injury Impact Report.
  • HR Cloud ties requirements to each role and job site, so missing items appear before the start date.

Construction onboarding

Every construction requirement,
tracked in one place

Requirements differ by state, employer, trade and role, so you set your own.
Construction employee onboarding software captures each item once and syncs it to your HRIS and payroll system. Typical items HR teams track:

  1. Certifications

OSHA 10/30, operator cards and trade licenses

Collects the card, routes it for approval and sends reminders before it expires

  5. Equipment

Equipment, tools and PPE issued as tasks

Creates asset tasks with due dates so equipment is issued before the first shift

HR Cloud workflow checklist with asset tasks, I-9 form steps and E-Verify steps
  6. Payroll

Payroll forms (W-4, state withholding, direct deposit)

Collects them digitally so new-hire data can sync to your payroll system instead of being re-keyed

Construction worker onboarding software for crews who don’t sit at a desk

Laborers, operators and tradespeople finish onboarding on their phones, before the shift starts. Forms are short, uploads use the camera, and e-signatures take seconds. For walk-up hires and crews without smartphones, a job-site tablet works as an onboarding station. Fewer abandoned packets means more of your hires are cleared on Day 1.

Onboarding software for construction companies that won’t make you switch payroll

Keep your payroll. Add the onboarding it doesn’t do.

  • Start with Onboard and keep your current payroll platform. HR Cloud is not a payroll system, so there is nothing to switch.
  • As a Platinum ADP Marketplace Partner, HR Cloud syncs new-hire data to ADP, so it does not have to be rekeyed.
  • Onboard also syncs to UKG, Workday and Paylocity. Integration details are confirmed during setup.

Construction onboarding: questions HR teams ask

Construction onboarding software is an HR tool that moves new-hire paperwork, safety acknowledgements and certification uploads onto a worker's phone or a job-site tablet, so crews are cleared before their first shift. It replaces paper packets for Form I-9 and Form W-4, collects OSHA 10 or OSHA 30 cards, and shows HR which workers are still missing items by job site. HR Cloud Onboard is not a payroll system; it syncs new-hire data to payroll systems such as ADP and UKG, so it is entered once. It differs from subcontractor site-orientation tools, which cover site safety but not employment paperwork.
A construction onboarding checklist should cover employment paperwork, safety, certifications, equipment and a first-week plan. Paperwork includes Form I-9, Form W-4, state withholding, direct deposit and emergency contacts. Safety items include site-specific orientation, PPE issue, hazard communication and the worker's OSHA right to report hazards. Certifications include OSHA 10 or 30 cards, equipment operator cards and trade licenses, each with an expiry date. Add assigned tools and radios, a crew mentor and a 30-day check-in. HR Cloud's OSHA onboarding checklist guide is a starting point, and HR Cloud Onboard lets HR build the same items into automated, role-based tasks.
Construction companies must use E-Verify if they hold a federal contract with the FAR E-Verify clause, or if they operate in a state that mandates it. Arizona, Mississippi, South Carolina and Alabama require all or nearly all employers to use E-Verify, and Georgia, North Carolina, Tennessee and Florida require it above set employee counts. Every employer must still complete Form I-9, with Section 1 done by the first day of work and Section 2 within three business days. HR Cloud Onboard collects I-9 Section 1 on mobile before day one, and HR can submit an E-Verify case from the I-9 task once E-Verify is enabled on the account.
A construction worker can finish most onboarding before day one when forms are digital, leaving only site orientation and PPE issue for the first shift. With HR Cloud Onboard, new hires complete I-9 Section 1, Form W-4, policy signatures and certificate uploads on their phone after accepting an offer, and a manager confirms orientation on site. For the software itself, contractors go live on HR Cloud in about six weeks on average, with a dedicated implementation lead.
Seasonal and rehired construction workers onboard faster when the employer reuses their existing employee record instead of starting from a blank packet. Under USCIS rules, an employer rehiring a worker within three years of the original Form I-9 date can complete Supplement B rather than a new I-9 when the original is still valid. HR Cloud supports a dedicated rehire checklist that triggers when HR initiates a hire for a previously terminated employee, archives earlier tasks and keeps uploaded documents on file. HR builds it with just the items that need repeating, such as expired OSHA cards, and can bulk-start up to 100 new seasonal hires at a time.
Run safety orientation in two parts: what can be completed before the first shift and what must happen on site. Before day one, new hires can sign safety, PPE and drug-policy acknowledgements and watch required safety videos in HR Cloud. On site, a manager or safety lead covers site-specific hazards, emergency procedures and PPE fit, then confirms completion. HR Cloud Onboard records each sign-off and creates the on-site orientation as a task for the site manager, so HR sees who is cleared and which tasks are overdue.
New construction workers are injured more often because they are unfamiliar with a site's hazards, equipment and procedures in their first weeks. Travelers’ 2026 Injury Impact Report, which analyzed claims from 2021 to 2025, found that first-year employees accounted for 44% of construction injuries, and construction had the most lost workdays of any industry at 114 days on average. Completing safety acknowledgements, PPE issue and site orientation before the first shift, and pairing new hires with a crew mentor, targets that window directly.
HR Cloud is not a payroll system; it integrates with the payroll you already run. As an ADP Marketplace partner, it connects with ADP Workforce Now, ADP RUN, ADP Vantage and ADP TotalSource: users can sign in with their ADP credentials, new-hire data syncs to ADP without double entry, and documents can be pushed to ADP Document Cloud. HR Cloud also syncs new-hire data to UKG, Workday and Paylocity. Which fields sync depends on your payroll product, so confirm the field list during setup.
HR Cloud is priced as an annual company license tied to headcount bands, rather than billing each user as a separate seat. Setup, configuration, data import, training and in-house support are included, and your quote confirms scope, integrations and renewal terms. Most contractors go live in about six weeks with a dedicated implementation lead. Request a demo for a quote based on your headcount and job sites.
